Job Summary:
The Protocol Officer is responsible for coordinating and managing protocol procedures for official government functions, diplomatic events, and high-level meetings. This role ensures adherence to international protocols and customs, maintaining professional decorum and etiquette. The Protocol Officer works closely with government officials, diplomats, and other stakeholders to ensure smooth and successful execution of events.
Key Responsibilities:
1. Develop and implement protocol policies and procedures to ensure compliance with international diplomatic norms and standards.
2. Coordinate and oversee the planning, organization, and execution of official government functions, diplomatic events, and high-level meetings.
3. Liaise with government officials, diplomats, and other relevant stakeholders to ensure proper protocol arrangements are made.
4. Provide guidance and support to government officials and diplomats regarding protocol matters, including seating arrangements, precedence, and cultural customs.
5. Collaborate with internal and external teams to arrange logistics, including transportation, accommodation, security, and catering for events.
6. Prepare and distribute invitations, official correspondence, and other related documents for events.
7. Maintain accurate records of protocol-related activities, including guest lists, seating plans, and event evaluations.
8. Conduct research and stay updated on diplomatic protocols, customs, and etiquette to provide accurate advice and recommendations.
9. Assist in the preparation of briefing materials and speeches for government officials and diplomats.
10. Coordinate with relevant departments to ensure the smooth flow of information and resources required for protocol-related activities.
11. Manage and oversee the work of protocol support staff, ensuring their adherence to established protocols and standards.
12. Handle protocol-related inquiries and resolve any issues or conflicts that may arise during events.
13. Maintain confidentiality and professionalism when handling sensitive information and diplomatic matters.
Required Skills and Qualifications:
1. Bachelor's degree in International Relations, Diplomacy, Political Science, or a related field.
2. Proven experience in protocol management, preferably in a government or diplomatic setting.
3. Extensive knowledge of international diplomatic protocols, customs, and etiquette.
4. Excellent interpersonal and communication skills, with the ability to interact effectively with government officials, diplomats, and individuals from diverse cultural backgrounds.
5. Strong organizational and multitasking abilities, with a keen eye for detail and a commitment to delivering high-quality work.
6. Exceptional problem-solving and decision-making skills, with the ability to handle unexpected situations or changes in protocol requirements.
7. Proficient in using technology and software applications relevant to protocol management.
8. Ability to work under pressure and meet strict deadlines while maintaining composure and professionalism.
9. Flexibility to work irregular hours and travel as required for events.
10. Demonstrated discretion and ability to handle confidential information with integrity.
11. Strong leadership qualities and the ability to manage and motivate a team effectively.
